Functions

Managers

Manager accounts can access both the desktop application and the manager application on a smartphone. You invite managers to create their accounts and you decide which parts of CrewPlanner they can access and what permissions they obtain.

Employees

In CrewPlanner, you can invite or create unlimited employees, but you can also put them on inactive or delete them. You can collect all kinds of information about your employees so you can schedule the right people on a project, you can create set cards and add reviews.

Employee application

Employees can access our employee app via a smartphone or tablet. There, they can view the projects they are scheduled on, share availabilities and documents with you and access information about hours worked.

Multilingual

CrewPlanner, our employee application and our Crew Academy are available in 4 languages: English, French, Dutch and German.

Planning & Calendar

Create your projects per day, recurring or via work schedules and consult them in the Agenda.

Document management

Create templates and design your own contracts and legal documents as needed. Send them automatically to your employees, have them digitally signed and consult or export them afterwards. You can also receive all types of documents you deem necessary from or share them with your employees.

Departments

Group your employees into departments and department groups in a way that best suits your company structure and collect relevant availabilities for your projects.

Finance

We provide you with an overview of gross margin calculations based on planned hours and shift functions to which wages and costs are linked, either per project or for parameters you select.

Activity log

All activities are logged in one place, giving you insight into your user actions.

Templates

Create and use templates for legal documents and contract lay-outs to automate the sending of your contracts and documents.

Permissions

With the use of permissions, you determine which parts you give your managers access to and which actions they are allowed to perform.

Import & export

Import employee lists or company databases and easily export your data from CrewPlanner.

Complex wage structure

Create your company wage structure in CrewPlanner and use our unique technology to automate and correctly process wages.

Company branding

Easily customise your CrewPlanner environment according to your branding by setting your brand colour and company logo.

Access for your clients

Give your clients access to a professional client portal thanks to our business manager accounts. This allows them to request projects directly from you.

Email/Push notifications

Employees receive automatic emails and push notifications according to their schedule. However, you can still send messages or request availability yourself.

Employee evaluations

At the end of a project, managers and supervisors can enter employee evaluations.

Timer and break timer

You choose through your configuration settings, whether to allow clocking in and out via the app and whether to allow the recording of breaks.

Time clock

You can generate time clock codes at different levels (project, department, company...), which your employees can then use to clock in and out on a tablet through selfies.

Time registration

Review and finalise your employees' hours worked per project or in bulk, add declarations, comments and reviews, and export this data after processing.

ID document verification

This functionality allows you to collect documents from your employees so you can verify their accounts and have the necessary information to employ them.

Payouts

Set how much advance you wish to pay, enter any corrections and create payment files for your bank to pay out your staff.

Invoicing

Use our invoicing module with or without linking to one of our invoicing partners. Set up invoicing rules that are automatically calculated based on hours worked.

Gamification (beta)

Add game elements and mechanisms to the CrewPlanner app to increase employee engagement and motivate them to use the app more.

SMS notifications (beta)

Integrate SMS notifications to inform and reach your employees via SMS as well.

Week contracts

Let CrewPlanner automatically identify and create week contracts according to your settings.

API tokens

Create connections with third parties using our API token functionality.

If you still have a question and your SPOC (Single Point Of Contact) cannot help you further, you can contact us via e-mail.

Chat support

Your appointed SPOCs can contact our support team directly via our integrated chat function.

Training & Workshops

We can offer additional training sessions & workshops to identify the best workflow in CrewPlanner for your team. Additional fees will be charged for this.

Professional services

We can also offer additional professional services, such as full onboarding, setting up your billing rules together with your accountant or even extra support during big events. Additional charges will apply.

Standard SLA

Our standard Service Level Agreement applies. Please refer to our general terms and conditions.

Customised SLA

For an additional fee, the Service Level Agreement can be customised.
