Introduction
The wage rules in CrewPlanner is the logic that we use to assign the employee the desired wage according to your settings in CrewPlanner.
In this article, we will explain how to set your wages and where, so that the correct wage is applied for a particular employee, shift function or client and this according to the Paritaire comité applicable. We conclude with a few examples to provide a quick summary.
How do wage rules work
Wage rules work on three different levels, these levels determine which wages are assigned to employees. We are happy to explain this in a little detail.
Below is the order of precedence:
Employee profile: If you have entered a gross wage in the employee profile, this is the wage this employee will always receive.
Shift functions: If no gross wage was entered in the employee's profile, it checks whether a gross wage was set at a shift function for this contract type.
Configuration settings: If no wage was entered in both the employee profile and shift functions, the wages set in the general configuration settings will be used as default.
Once you have set the wage rules as required, you can rely on CrewPlanner to always enter the correct wage for an employee.
CrewTip! From experience, we recommend setting at least one general wage for each of your contract types.
Therefore, we will first discuss how to get started with this, followed by the other levels in reverse order of priority.
Set general wages in configuration
You navigate via the menu bar on your left to SETTINGS. Then you will find CONFIGURATION in the menu on the right. On this page, you can set all the general functionalities of your CrewPlanner environment, including general wages. This is how you do it:
At the top left, you have several fields, where you can set wages by contract type as well as by Paritair comité.
Please note Paritair comité is for Belgium clients only and will not be applicable or visible in CrewPlanner in other countries.
In this field you set whether the wages should be calculated per hour or per day.
Here you enter the wages.
Belgium only: If you use one or more Paritair comités, you can also set different wages on this basis.
In this field you select one or more contract types that should receive the wage.
This icon allows you to set a wage by age. More on this in a moment.
Once you are satisfied with a general wage setting, select the plus sign to add the next line.
These wage settings will thus be applied by default, unless you have set a different wage for a particular shift function and/or an employee.
CrewTip! we recommend setting at least one general wage here, so that it can be granted if no other wage rules apply.
Set wage by age in configuration
When you access the CONFIGURATION page via SETTINGS, you will also find this icon next to the wage settings.
This allows you to set a wage based on contract type and age. As a result, when indexing, you only need to adjust the standard wage, being 100%. The wages for the different ages are then automatically adjusted using the percentages previously specified.
After selecting this icon, the table below appears where you can enter the percentages per age:
Where no percentage is specified, the wage is kept from the default configuration, being 100%.
Set wages for shift functions
When you have created a shift function, you also have the option to link a wage to it. This is how you do it:
Via the menu bar on your left, navigate to SETTINGS, where you select SHIFT FUNCTIONS on the right. This will take you to the general page of shift functions.

It is important to note that shift functions can be set generally, or you can set them for a specific company.
If you select MAKE A FUNCTION at the top of the general page, you will be taken to the following page:
First, you determine whether the function can be used generally or whether it belongs specifically to a particular customer or company.
CrewTip! If you assign a shift function to one of your customers, they will only see the functions set up for them via the customer portal to which they have access. Moreover, you as a scheduler will also only see this company's shift functions when you create a project for them.
In this field, give a name to the shift function you wish to create.
Here you define the cost of the shift function, either per hour or per day. If you use our finance module, this amount will be used to calculate the cost.
Here you enter the amount of these costs.
In this field you set whether the wage should be calculated per hour or per day.
Here you enter the wage.
If you use one or more Paritair Comités, you can also set different wages on this basis.
In this field you select one or more contract types that should receive the wage.
As soon as you set a wage for a shift function, this wage will be used instead of the default wage set in configurations. However, unless you have also set a wage for a certain employee in his employee sheet.
Set shift function wage per age
For the shift function wage settings, you can also set a wage based on contract type and age. So that when indexing, you only need to adjust the default wage, which is 100%.
When consulting a shift function, you will also find the icon to set this:
After selecting the icon, the same pop-up will appear where you can set a different wage for ages 15 to 23 for this shift function.
Set a wage via the employee profile
As we mentioned earlier, you also have the option of assigning a gross wage to an employee via the employee profile.
You can access an employee profile by looking up the employee in question on the employees page or by selecting the employee's name elsewhere in CrewPlanner. This opens the employee pop-up, where you select EDIT at the bottom left to open the profile.
We'll use the example of Tonya Ryan for a moment: you select EDIT at the bottom left of this sheet.

This will direct you to the employee's profile, where you can edit and modify the data. In the PERSONAL DETAILS tab, on the right-hand side and roughly in the middle of the page you will find two fields related to setting the wage. As you can see, you have the option of setting a daily wage combined with a maximum number of hours per day or a gross hourly wage.

The wage settings in an employee's employee profile always take precedence over the wage settings of the shift functions and configuration.
Examples of the wage rules logic
You set a default wage of €13 for all contract types on the configuration page.
However, you create the general shift function, Chef-kok, with an hourly wage of €20.
As well as a company-specific shift function, Chef, for the company Alpha Expo with an hourly wage of €25.
In Tonya's example, we assigned a Gross hourly wage of €15.
According to CrewPlanner's wage rules, this gross hourly wage of €15 will always be maintained for this employee, even if this person is scheduled as a Chef-kok or Chef for the company Alpha Expo.
If you schedule an employee on a shift as a Chef-kok and no wage was set in his employee profile, this person will be paid €20 per hour.
Unless this employee is scheduled as a Chef on a project for the company Alpha Expo. In this case this employee will be paid € 25 per hour.
If you schedule an employee with no wage set in the profile for a shift function with no wage set, this employee will be paid the standard wage of € 13.
CrewTip! If, as a temporary employment agency, you work with several Paritaire comités, you can set wages both at shift function level, and at general level for each Paritair comité. In this case, the wage rule logic continues to apply: If the Paritaire comités of the client or company for which the project takes place differs from your Paritair comité and if no wage is set in the employee profile, it is verified whether a wage for this Paritair comité is set at the shift function. If this is not the case, the general settings set on the configuration page are checked. If no wage is set for this Paritair comité, the general wage is applied.
